Pest management is evolving. Clients expect greater transparency, regulations require better documentation, and the world is becoming increasingly digital. City FM is a company that understands this shift and continues to grow in many areas. In this interview, Jason Bird explains why they chose PestScan, how the software supports their daily operations, and how it has helped improve their processes.

Pest Operations Manager at City FM

City FM is a succesful field service company with a large Pest Control branch with over 100 technicians.

Before using PestScan, what challenges were you facing in managing your pest control operations?

Before PestScan, we were still relying heavily on pen-and-paper reports, which made managing information across a large number of sites more difficult than it needed to be. Visibility wasn’t always immediate, pulling together records for audits could be time-consuming, and sharing clear updates with customers involved a lot of manual work. We needed a platform that would bring everything into one place, support our governance and IT requirements, and reflect the way City FM manages pest control at scale rather than a basic, one-size-fits-all approach.

What made PestScan stand out compared to other solutions you considered?

What really stood out was the combination of a strong, practical system and the willingness from the PestScan team to work with us as a partner. Other providers felt quite rigid, whereas PestScan were open to tailoring the platform to our operational and compliance needs. The clear audit trail, easy-to-use customer portal, and the fact the system was intuitive for technicians were all key factors, but just as important was the confidence that the platform could evolve alongside our business.

In what ways has PestScan improved or simplified your daily work?

PestScan has simplified day-to-day work by removing a lot of the manual processes that came with paper reporting. Information is now captured in real time, site history is easy to access, and reporting is far more consistent. Features like heat maps, simple site plan creation, and the IPM Trend Report have helped reduce admin time and make it easier to understand what’s happening at site level. Overall, it’s allowed the team to spend less time on paperwork and more time focused on proactive pest management and reducing risk.

Can you share one example where PestScan noticeably made your work easier?

A clear example is how we manage recommendations with our customers. Through PestScan we can share structured weekly reports directly with senior customer teams, making it clear what actions are required. We also worked with PestScan to develop recommendation alerts, so if a store has recommendations coming due or already overdue, they receive a notification to prompt action. This helps ensure timely completion and supports the ongoing aim of maintaining pest-free stores.

As a result, issues are dealt with more quickly at site level, which means our technicians can concentrate on delivering the service rather than repeatedly raising or chasing unresolved problems. It’s made communication simpler and far more effective for everyone involved.

Would you recommend PestScan to other pest control companies? If so, why?

Yes, we would. PestScan is practical, easy to use, and supports both field teams and customers without overcomplicating things. It modernises reporting, improves visibility, and reduces admin, while still being flexible enough to fit different ways of working. The collaborative approach from the PestScan team has also been important, as it means the system continues to develop in line with real operational needs.

Is there anything you would like to see improved or added in PestScan in the future?

Most of the features we need are already in place, and PestScan have been very responsive when we’ve suggested improvements. One area that would be useful to develop further is a quoting function to sit alongside the existing invoicing system, to keep the whole process within one platform.

Beyond that, continued enhancements to reporting and data insights and Fly Trend analysis would be welcome. The fact we’re able to discuss ideas openly with the PestScan team and see them developed gives us confidence in how the system will continue to evolve.

Conclusion

As the pest management industry continues to evolve, companies like City FM show what it means to stay ahead. By embracing digital solutions and focusing on continuous improvement and cooperation, they are building a more resilient and professional operation. We’re not only thrilled to work with them, but their experience also helps PestScan evolve to better meet the needs of modern pest management companies.
